This Privacy Policy explains how Vaaman Engineers India Ltd(“we”, “us”, or “our”) collects, uses, and protects information when you use the Vaaman HR mobile application (the “App”).

Vaaman HR is an employee HR and attendance application used by organizations and their employees. By using the App, you agree to the practices described in this Policy.

1. Who this App is for

The App is intended for employees and managers of organizations that use Vaaman HR / related HR systems. It is not directed to children under 13.

2. Information we collect

Depending on your organization settings and the features you use, we may collect:

• Account & contact information: name, email address, phone number, employee/user ID
• Location data: precise location for attendance check-in/check-out and geofence verification
• Photos / camera data: images used for face recognition attendance or document/profile uploads (where enabled)
• Support content: information you submit through Help Desk / support requests
• Device identifiers: device-related IDs or push notification tokens (where enabled)
• HR / payroll-related information: employment and payroll details made available by your organization (for example leave, attendance, or salary slip information)

3. How we use information

We use the information to:

• Authenticate users and maintain secure sessions
• Provide attendance, leave, expense, help desk, approvals, and related HR features
• Verify workplace attendance using location and/or face recognition where configured by your organization
• Show employee profile, shift, payroll, and request status information
• Send important service notifications (where enabled)
• Provide customer / HR support
• Maintain security, prevent misuse, and improve App reliability

We do not sell personal data and do not use personal data for third-party advertising.

4. Face recognition and camera

Where your organization enables face-based attendance, the App may use the camera to capture an image or face-related data for identity verification at check-in/check-out. This is used only for attendance verification and related HR security purposes configured by your organization. Photos are processed for verification and are not used for advertising.

5. Location

If attendance or geofencing features are enabled, the App may collect precise location to confirm that check-in/check-out occurs at or near authorized workplaces, or to support outdoor-duty flows. Location is used for App functionality and is linked to your employee account.

6. How information is stored and shared

Information is processed in connection with your employer’s HR system / servers (for example, organization-managed backend services). Your employer is typically the organization that determines why and how employee HR data is processed for employment purposes.

We may share data with:

• Your employer / organization administrators and authorized approvers
• Service providers that help us operate the App (for example hosting, push notification, or analytics infrastructure), only as needed to provide the service
• Authorities when required by law

7. Data retention

We retain information for as long as needed to provide the App and as required by your organization, employment, legal, or compliance needs. When data is no longer required, it is deleted or anonymized according to applicable policies.

8. Security

We use reasonable technical and organizational measures to protect information, including secure transmission (HTTPS) and access controls. No method of transmission or storage is 100% secure.

9. Your choices and rights

Depending on applicable law and your organization policy, you may be able to:

• Access or update certain profile information in the App
• Control device permissions (Location, Camera, Photos, Notifications) in your phone settings
• Request correction or deletion of personal data through your HR / admin team

Because this is a workplace App, some requests may need to be handled by your employer as the data controller for employment records.

10. Children’s privacy

The App is not intended for children under 13, and we do not knowingly collect personal information from children under 13.

11. International processing

Information may be processed on servers in countries where we or our service providers operate. Where required, appropriate safeguards are applied.

12. Changes to this Policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised “Last updated” date.
