This Privacy Policy explains how Vaaman Engineers India Ltd(“we”, “us”, or “our”) collects, uses, and protects information when you use the Vaaman HR mobile application (the “App”).
Vaaman HR is a workplace HR and attendance application for employees and authorized staff of Vaaman Engineers India Ltd and affiliated organizations that use our HR system. It is not intended for the general public. By using the App, you agree to the practices described in this Policy.
The App is intended for employees, contractors, and managers whose employer has issued them a Vaaman HR account. There is no public self-registration. Accounts are created by the employer’s HR / system administrator. The App is not directed to children under 13.

We do not sell personal data and do not use personal data for third-party advertising.
Where your organization enables face-based attendance, the App uses the camera only to verify that the person checking in or checking out is the enrolled employee.
What we collect: We do not store photographs, video, or a gallery of your face. On the device, a live camera frame is converted into a face embedding (a numeric mathematical map of facial features). The camera image is discarded immediately after that conversion and is not uploaded.
How we use it: Face embeddings are used solely to match a live check-in/check-out scan against the embedding created during enrollment. They are not used for advertising, marketing, social graphing, or sale of data.
Where it is stored: Embeddings are stored on company-controlled HR servers operated by Vaaman Engineers India Ltd (our employer HR backend), associated with your employee record, and transmitted using HTTPS. They are not stored in iCloud, not stored in a public photo library, and not sent to consumer social networks or advertising platforms.
Sharing: We do not sell face data and do not share face embeddings with unaffiliated third parties for their own purposes. Access is limited to the employer’s authorized HR / system administrators as part of operating attendance and employment records. Service providers that host our servers may process data only to operate the HR system, under our instructions.
Retention: Face embeddings are retained while you are an active employee (or otherwise authorized user) and face attendance remains enabled for your account.
Deletion / replacement: If you re-enroll in the App, the new embedding replaces the previous one. When employment ends, or if you or HR request deletion, authorized administrators delete or clear the embedding from the employee record according to company HR and legal retention rules. You can also turn off Camera permission in iOS Settings; attendance features that require the camera will then be unavailable.
If attendance or geofencing features are enabled, the App may collect precise location to confirm that check-in/check-out occurs at or near authorized workplaces, or to support outdoor-duty flows. Location is used for App functionality and is linked to your employee account. Background location, where enabled by your organization, is used only during an active checked-in shift to record workplace entry/exit and stops after check-out.
Information is processed in connection with your employer’s HR system / servers operated by Vaaman Engineers India Ltd. Your employer determines why and how employee HR data is processed for employment purposes.
We may share data with:
We retain information for as long as needed to provide the App and as required by your organization, employment, legal, or compliance needs. Face embeddings follow Section 4. When data is no longer required, it is deleted or anonymized according to applicable policies.
We use reasonable technical and organizational measures to protect information, including secure transmission (HTTPS) and access controls. No method of transmission or storage is 100% secure.

The App is not intended for children under 13, and we do not knowingly collect personal information from children under 13.
Information may be processed on servers in countries where we or our service providers operate. Where required, appropriate safeguards are applied.
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised “Last updated” date.
